Privacy Policy

System Advance ("we", "us", "our") respects your privacy and handles your personal information in accordance with the New Zealand Privacy Act 2020. This policy explains what we collect and how we use it.

1. What we collect

• Enquiry & engagement details: your name, email, phone, company, and any information you provide.
• Payment information: we don't take payments through this website. If we invoice you for services, payment details are handled by our bank or invoicing provider, and we never store card details.
• Basic technical data: standard website logs (e.g. via our hosting provider).
• Cookies & analytics data: we use cookies and similar technologies to understand how our site is used (see §4).

2. How we use it

• To respond to enquiries, prepare proposals, and deliver our services.
• To communicate with you about your engagement.
• To improve our services.

3. Who we share it with

We keep this list short on purpose. Our website is hosted by Cloudflare, and the emails we send you (for example, your System Check results) are delivered by Resend, our email provider; both operate infrastructure outside New Zealand. When you send an enquiry or complete the System Check, your details are stored in our own self-hosted systems on infrastructure we control in New Zealand - not in a third-party CRM. Our site loads fonts from Google Fonts, and we use Google for analytics (see §4). We share only what's necessary for these services to function. We do not sell your information, and we won't share it with others except as required by law.

How long we keep it: we keep enquiry and System Check records only as long as we need them to follow up and deliver services. You can ask us to delete your details at any time.

4. Cookies & analytics

We may use Google Analytics 4 to understand how visitors find and use our site. It collects pseudonymous, aggregated usage data (it does not identify you by name and does not store IP addresses), processed by Google on servers outside New Zealand.

If you'd prefer not to be measured, you can install Google's opt-out browser add-on, or block and clear cookies in your browser settings. Essential cookies needed for the site to work are always on.

5. Marketing communications

If you opt in, we may send you occasional updates. Every marketing email includes an unsubscribe link, and you can opt out at any time by emailing us.

6. Your rights

You can ask to see the personal information we hold about you, request corrections, or ask us to delete it (where we're not required to keep it). Email [email protected] (our privacy officer is William Delacey) and we'll respond within 20 working days.

If you're not happy with how we handle a privacy concern, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
